Welcome to our Reuse quick start. Here, you'll learn how to:
In short: Reuse helps you maintain consistent authoring standards throughout your content. When Acrolinx checks your content with the Approved Messaging goal in Targets, it looks for similarities and suggests your replacements.
Use Reuse to manage your messaging. As a first step, you need to create a set. A set is where you group wording that belongs together. You might create a set for each department or different sets for different types of content. After that, you add replacement wording to your set.
Want to learn how Reuse can help you? Read more and view some examples in Add Your Preferred Wording to Reuse.
You group your replacements in sets. It's easy to add a set in the Acrolinx Dashboard.
For added flexibility, you can use the same preferred wording in different sets.
To create a set, do the following:
Your set will appear in the list of sets in the Reuse section. Sets are sorted alphabetically with their descriptions displayed.
-
Click CREATE SET in the Reuse section of the Acrolinx Dashboard.
-
Enter a unique set name. Keep in mind that this name will show up in the Approved Messaging goal.
-
(Optional) Add a description. If you plan to manage a lot of sets, this is a good way to keep an overview.
-
Click CREATE.
After you’ve created some sets, they’ll show up in the list of sets in the Reuse section. Sets are initially empty. It's up to you to add your wording as replacements.
Tip
If you add preferred wording to a replacement, Acrolinx will find text that's similar to your preferred wording. Acrolinx always suggests your entry from the Preferred wording field.
To add a replacement, do the following:
Once you add a replacement, you’ll see it listed in the corresponding set. A replacement is active when the box next to it is checked. To deactivate a replacement, uncheck the box.
-
Click ADD REPLACEMENT.
-
Enter your wording in the Preferred wording field. This can be a phrase, a sentence, or multiple sentences.
-
Select a language. The replacement will only be available for checking the selected language.
-
(Optional) Add the replacement to other sets.
-
(Optional) Enter a description. We recommend that you add some helpful text for your writers here.
-
Click ADD.

If you have wording that your writers shouldn't use, you can add this to Unsuitable wording in the section Advanced. Read on in Reuse Advanced: Unsuitable Wording.
When Acrolinx finds expressions similar to your preferred wording, it suggests the preferred wording in the Sidebar. To replace an issue with preferred wording, click on the suggestion in the related Sidebar card.

If there’s text in the Description of a replacement, you’ll see that content in the Sidebar card as well.
Tip
You can also get as-you-type replacement suggestions from Reuse in Oxygen. The beta version of the Acrolinx live panel for Oxygen will be available through the Sidebar in 2023.
After you've crafted and tested a couple of sets and replacements, you might want to update or delete some of them. Read on in Manage Reuse Sets and Replacements to learn how.
