With Reuse, Acrolinx helps you manage your messaging.
Suppose that your company uses specific wording for certain products or services. This could be because you have very specific product descriptions or need to meet certain compliance standards. Acrolinx identifies variations and proposes your preferred wording. For example:
Preferred wording: “The following components come with your Acrolinx.”
Variation 1: “The following components are shipped with your Acrolinx.”
Variation 2: “Your Acrolinx comes with the following components.”
As a first step to set up Reuse, you need to create a set. Think of a set as a place to group wording that belongs together. You might want to create a set for each department or different sets for different types of content. Then, you add replacement wording to a set.
Notice
For added flexibility, you can use the same preferred wording in different sets.
You group your replacements in sets. It's easy to add a set in Acrolinx.
To create a set, do the following:
-
Go to Style > Reuse and click CREATE SET .
-
Enter a unique set name. Keep in mind that this name will show up in the Reuse goal.
-
(Optional) Add a description. If you plan to manage a lot of sets, this is a good way to keep an overview.
-
Click CREATE.
Your set will appear in the list of sets in the Reuse section. Sets are sorted alphabetically with their descriptions displayed.
The sets you've created are initially empty. It's up to you to add your wording as replacements.
Tip
If you add preferred wording to a replacement, Acrolinx will find text that's similar to your entry. When you run a check, Acrolinx will suggest your preferred sentences or phrases in the Sidebar cards.
To add a replacement, do the following:
-
Open a set and click ADD REPLACEMENT.
-
Enter your wording in the Preferred wording field. This can be a phrase, a sentence, or multiple sentences.
-
Select a language. The replacement will only be available for checking the selected language.
-
(Optional) Add the replacement to other sets.
-
(Optional) Enter a description. We recommend that you add some helpful text for your writers here.
-
Click ADD.
Once you add a replacement, you’ll see it listed in the corresponding set. A replacement is active when the box next to it is checked. To deactivate a replacement, uncheck the box.
If you have wording that your writers shouldn't use, you can add this to Unsuitable wording in the section Advanced. Read on in Reuse Advanced: Unsuitable Wording.
